Terms of Service

These terms cover your Vortan subscription. We've written them in plain English on purpose — you should be able to read this in five minutes and know exactly what you're agreeing to. Vortan is operated by Dubs Connect LLC.

The short version: Month-to-month, cancel anytime with no penalty. Your data belongs to you and you can take it with you. No per-user fees. Your price is locked for at least a year.

1. What you get

We build, host, and maintain a custom business management application for your business, accessible from any phone, tablet, or computer with a web browser.

Business OS includes lead tracking, estimates, job management and scheduling, invoicing with payment tracking, printable invoices branded with your logo, a client directory, expense tracking, and financial summaries. Your data is stored in a cloud database dedicated to your business and reachable from any device.

Automated includes everything above, plus emails sent automatically on your behalf: follow-ups on quiet leads, nudges on unanswered estimates, reminders on overdue invoices, and a weekly summary sent to you. You can switch any of these off from inside the app at any time.

Setup, onboarding, hosting, database costs, and ongoing support are all included in the monthly price. There are no per-user fees, and no limit on how many people at your business use it.

2. Payment

Your monthly fee is charged automatically to the payment method on file, starting the day your service begins and recurring monthly on that date. Any setup fee is due before we start building.

If a payment fails, we'll let you know and try again. If it stays unresolved after 14 days, access may be suspended until the balance is paid. Your data is kept safe during any suspension.

Your price is locked while you stay subscribed. If we raise prices, existing customers keep their current rate for at least 12 months, and we'll give you at least 30 days notice before anything changes.

3. Cancelling

You can cancel any time, for any reason, with no penalty and no cancellation fee. Email us or use the billing portal. Your service runs through the end of the month you've already paid for, and you won't be charged again.

Monthly fees already paid aren't refunded. Setup fees aren't refundable once your app has been built and delivered.

You can take your data with you. Ask us for a full export at any time, including when you cancel, and we'll get it to you within 7 days at no charge. We keep your data for 30 days after cancellation, then permanently delete it.

4. Your data is yours

Everything you put into the app — your customers, jobs, estimates, invoices, financial records — belongs entirely to you.

We do not sell your data. We do not share it. We do not use it for anything other than running your app. We only look at it when we need to help you with a support question, fix a problem, or if the law requires it.

Every customer gets their own separate database. No other Vortan customer can see your information.

We take reasonable steps to keep your data safe, but no system is perfect and we can't guarantee against every possible failure or breach. Access to your app is by private link rather than an individual password — treat that link like a key, and tell us if it needs changing. Per-user logins are on our roadmap and we'll move you onto them at no charge. We recommend requesting an occasional export for your own records.

5. Automated emails

This section applies to the Automated plan only.

We send emails to your customers on your behalf. They show your business name, and replies go straight to your email address — not ours.

You're responsible for the contact information you enter. We can't be responsible for a message going to the wrong place because of a typo in an email address.

Every message we send is logged inside your app so you can always see exactly what went out and to whom. You can turn any or all of it off whenever you want.

6. How we handle data on your behalf

Your customers' information is yours, not ours. In legal terms you decide what happens to it and we act on your instructions — we process it only to run your app, provide support, and do the things you've switched on.

We will not sell it, share it, use it to advertise, or use it to train any AI system.

These companies help us run the service and may hold your data as part of that:

We'll give you 30 days notice before we add anyone to that list, so you have time to object or leave.

7. If something goes wrong

If we discover a security incident affecting your data, we'll tell you within 72 hours of finding out — what happened, whose information was involved, and what we're doing about it. You'll hear it from us rather than from someone else.

We'll also help you work out what you need to tell your own customers, if anything.

8. Support and changes

Support is included — email or call us with questions or problems. Business OS customers get a response within two business days. Automated customers get a response the same business day during business hours.

If something in the app is broken, we fix it at no charge.

If you want new features or significant changes beyond what's described above, we'll quote it separately as custom work. You'll get a fixed written quote and nothing starts until you approve it.

9. Uptime

We use established hosting and database providers and do our best to keep your app running. That said, we can't guarantee uninterrupted service, and we're not liable for outages caused by third-party providers, internet failures, or anything else outside our reasonable control.

If there's a major outage that's our fault and it lasts more than 48 hours, ask us for a credit covering the affected days.

10. Limits of liability

Vortan is a record-keeping and organizational tool. It is not accounting, legal, or tax advice. You're responsible for the accuracy of your own records, invoices, tax filings, and business decisions.

Our total liability under these terms is limited to what you paid us in the three months before a claim. Neither of us is liable to the other for indirect or consequential damages, including lost profits or lost business.

11. The rest

These terms are governed by the laws of the State of Montana.

This page is the entire agreement between us and replaces any earlier discussions or proposals. If any part of it turns out to be unenforceable, everything else still stands.

We may update these terms with 30 days written notice. If you don't agree with a change, you can cancel without penalty.
